Job Purpose and Summary

This is a seasonal position that is designed to provide routine clerical support to departmental staff. The specific duties and responsibilities of this job will vary considerably depending on the department or unit the incumbent is assigned to. Work may involve providing secretarial services to one or more individuals. Work is initially reviewed closely, and close supervision is received when new work processes or procedures are introduced, however, employees are expected to perform with limited guidance after the work process is learned.  

Essential Functions & Responsibilities

  • Files, scans, indexes and retrieves documents/materials.
  • Drafts various correspondence from handwritten notes, dictated sources or original source documents. 
  • Routinely fills in, relieves and assists departmental staff as directed.
  • Performs data entry and logs or records office information. Types various letters, forms, documents, reviews and directs phone calls.
  • Opens and sorts mail into designated categories for departmental distribution.
  • Operates office equipment such as a typewriter, personal computer, scanner, adding machine, photocopier, stamping machine and labeling machine.
  • Prepares labels to identify the contents of packages, file folders, mail, booklets, etc.
  • Folds letters, documents or circulars and stuffs into envelopes.
  • Codes documents, forms, records, etc. for identification, reference and filing.
  • Proofreads typed documents to ensure typographical accuracy.
  • Updates information in the enterprise system or on forms, form letters, envelopes, labels, charts and transmittals.
  • Performs special projects related to the business unit, as assigned.
  • Uses situational awareness to anticipate and prevent accidents.
  • Performs related duties as assigned.
     

Qualifications

Education and Licenses

  • High school diploma or equivalent certification. 
  • Must be currently enrolled in, or accepted to, a post-secondary educational program, such as college or trade school, or entering into a basic training program for the United States Armed Services during the Summer or Fall.

  • Must be at least eighteen (18) years of age.

PHYSICAL DEMANDS

Position demands include frequent speaking, both in person and by telephone. May require long periods of sitting, standing, or bending.

 

WORK ENVIRONMENT

Office environment with low levels of noise, adequate lighting and comfortable temperature. Physical environment is generally safe, but safety equipment or precautions must be followed in field conditions.
